Position Description
NRDC seeks a Board Operations Coordinator in our New York office to provide scheduling and general administrative support to the NRDC and NRDC Action Fund Boards and to the Board Relations team, which is housed within NRDC’s executive office.
Reporting to the Associate Director, Board Relations, the Coordinator will play a vital role in the complex scheduling of meetings involving senior leadership, trustees, and committees and provide key administrative support in the daily operation of the Boards and the Board Relations team.
The ideal candidate is a self-starter, quick learner, and has an excellent ability to prioritize assignments and projects to maximize the efficiency and effectiveness of the team. We seek a skilled collaborator, who is highly communicative and organized; able to exercise good judgment, discretion, and tact, and is comfortable working independently. This is a limited term two year position.
Responsibilities
- Manage complex scheduling for the Board Relations team, and all Board-related meetings and engagements. Maintain calendars on Outlook and on the Board portal, OnBoard.
- Communicate frequently with board members and their offices, the internal team and other departments to schedule meetings. Monitor the team’s shared email inbox, delegate accordingly.
- Manage all invoice processing and vendor contracts for the triannual board meetings, and process expense reports for the Director and Associate Director. Assist the Director and Associate Director in budgeting and expense tracking for board meetings.
- Support the Director in the production and project management of board books, the pre-reads for the Board meetings.
- Print and circulate meeting materials in advance of board meetings.
- Responsible for the maintenance of key Board records; regularly update contact information, demographic information, term details, among others. Seek ways to improve and evolve record-keeping and transparency. Serve as a resource to others in the organization seeking information related to the Board.
- Assist the team in drafting, editing, formatting and proofreading correspondence.
- Coordinate and assist in the management of special projects related to furthering the work of the Board.
- Organize and coordinate internal team meetings and retreats, including scheduling and technology needs.
- Coordinate mailings of materials, gifts, and swag.
- Provide ad-hoc, hands-on support for a variety of projects and roles.
- Be an accessible, collaborative, roll-up-the-sleeves problem solver.

Qualifications
Minimum Education & Experience:
- Bachelor's degree or equivalent experience preferred.
- Minimum of 2 - 3 years of administrative and scheduling experience required.
- Experience supporting multiple team members while juggling competing priorities and projects at the same time.
Skills, Abilities, Competencies
- Proactive, detail-oriented, problem solver with an ability to deliver high-quality results and meet deadlines.
- Superior interpersonal skills; applies tact and discretion in communicating with a range of stakeholders.
- Proficient in Microsoft Office, including Outlook, Word, Excel and PowerPoint. Comfortable learning new software and programs.
- Experience using Salesforce, Sharepoint, OnBoard, Asana, and Concur a plus.
- Excellent written and verbal communications skills.
- Ability to travel for in-person board meetings and events and to work occasional evenings and weekends, as needed.
- Ability to maintain confidentiality.
- Ability to travel to NRDC U.S. based offices, approximately 10-15% annually

We offer competitive salaries, excellent benefits, and a supportive working environment. Salary is based on a nonprofit scale and is commensurate with skills and experience. Internal equity will be reviewed and considered to determine a final offer. For this position, the salary range is $55,000 to $61,000.
NRDC operates under a hybrid work model. Employees are required to come to the office 8 days per month.
