Salary Range: The full pay range for this role is $83,000 to $138,000 annually. The target range for this position is $95,000 to $115,000 annually. We generally base our salary decisions on factors such as internal equity, candidate work and/leadership experience, educational credentials, and in some cases, candidate work location.

 

Scope of Job: Provide administrative assistance to the Legal Department and its senior staff (including leaders of the Legal, Insurance, Health Safety Environment and Sustainability and Compliance teams). This position requires a high level of organizational skills and attention to detail. Qualified candidates must be accustomed to maintaining strict confidentiality of all Legal Department matters and sensitive information. This may involve handling confidential documents, maintaining secure filing systems, and exercising discretion in all interactions.

Responsibilities

  • Calendar management: Scheduling meetings, appointments, and conference calls for the General Counsel. This may involve coordinating with internal and external stakeholders, managing conflicting priorities, and ensuring timely attendance.
  • Document management: Assisting with the creation, editing, and formatting of legal documents, including contracts, agreements, and correspondence. This may involve proofreading, formatting, and ensuring accuracy and consistency.
  • Communication: Handling incoming and outgoing correspondence, including emails, phone calls, and mail. This may involve drafting responses, forwarding messages, and ensuring timely and appropriate communication.
  • Meeting coordination: Assisting with the preparation of meeting materials, including agendas, presentations, and supporting documents. This may involve coordinating with internal and external participants, reserving meeting rooms, and ensuring all necessary resources are available.
  • Administrative support: Assisting with general administrative tasks, such as expense reporting, travel arrangements, filing, and record-keeping. This may also include managing department budgets, tracking expenses, and processing invoices.
  • Relationship management: Building and maintaining positive working relationships with internal stakeholders, such as other departments, senior management, and external parties, including clients, vendors, and legal counsel.
  • Legal department projects: Assisting with special projects and initiatives undertaken by the Legal Department. This may involve conducting research, preparing reports, and coordinating with cross-functional teams.
  • Continuous improvement: Identifying opportunities for process improvements and efficiency gains within the Legal Department. This may involve suggesting and implementing new tools, technologies, or procedures to enhance productivity and effectiveness.
  • Other duties as assigned.

Supervision/Support of Others: General Counsel has 9 direct reports (5 lawyers, leaders of Legal, Insurance, Health Safety Environment and Sustainability and Compliance teams)

 

Working Conditions:

  • 95% of time is spent in the office environment, utilizing computers (frequent use of various Microsoft software/programs), phones, and general office equipment.
  • 5% of the time is spent in the field supporting General Counsel and senior staff in meetings, litigation support, etc.

Qualifications

Education/Experience:

  • Typically requires a Bachelor’s degree and a minimum of 5 years of administrative assistant work experience or equivalent training and/or experience.
  • Previous experience as an executive assistant or in a similar administrative role, in a legal department or law firm is a plus.

Skills/Knowledge/Abilities:

  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
  • Proficiency in using office software, such as Microsoft 365 Office Suite (Teams, Word, Excel, PowerPoint).
  • Familiarity with legal terminology, processes, and documentation.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
  • Proactive and self-motivated, with the ability to work independently and take initiative.
  • Flexibility and adaptability to handle changing priorities and work in a fast-paced environment.

Physical Requirements: Awareness of ergonomic impacts of prolonged engagement in a desk-oriented role (long hours of reading, typing, computer monitor screen-time, etc.)
