Under the direction of the Operations Manager, the Administrative Assistant is primarily responsible for entering the day-to-day load information into the dispatch system and supporting the dispatch team by ensuring all driver paperwork and bill of ladings are processed, verified and complete.  Duties<ul><li>Provide reliable support and assistant to the dispatch team under the operations department.</li><li>Enter data accurately and efficiently into our dispatch system for all assigned dispatch schedules and update changes throughout the day.</li><li>Effectively process and distribute daily border paperwork to drivers and customs, retrieve and confirm entry numbers.</li><li>Initiate and monitor progress of drivers, load completion and tickets.</li><li>Document and maintain waste receipts/shipment records while ensuring completeness, accuracy of all entries created. – i.e. Waste Manifests, bills of lading and work orders.</li><li>Generate reports from internal data and communicate all relevant details to management.</li><li>Ensure coordination with other departments, clarifying roles and responsibilities for resolving service issues.</li><li>Interacts with customers, various departments including: Customer service, Finance, Maintenance, Safety and Operations.</li><li>Manage documents from drivers and customers and ensure distribution to appropriate departments.</li><li>Must be able to communicate effectively and professionally via email and telephone with customers, various departments and drivers.</li><li>Follow applicable regulations with regards to transportation, receiving and management of waste.</li><li>Other responsibilities include but are not limited to sorting, organizing and filing daily driver paperwork and tickets.</li><li>Perform other duties and responsibilities as required or requested by management.</li><li>Comply with all company policies, procedures and directives from supervisors.</li></ul>Knowledge, Skills, Abilities and Competencies: <ul><li>High School Diploma or GED required.</li><li>Strong communication and interpersonal skills.</li><li>Proficient in MS Outlook, Excell, Work OR Google Workspace.</li><li>Proven ability to multi-task &amp; ability to organize and prioritize tasks.</li><li>Must be detail oriented.</li><li>Knowledge of the Cross Border, Transportation or Waste Management industries would be considered an asset.</li><li>Knowledge of Isaac Instruments or TMW Suite would be considered an asset.</li><li>Ability to work without supervision.</li><li>Required to work in the office.</li></ul>#GFLTALENT  We thank you for your interest.
