Key Responsibilities· Manage day-to-day administrative operations, including office management, logistics, andprocurement.· Supervise administrative staff and ensure efficient workflow and task delegation.· Maintain and improve administrative systems, policies, and procedures.· Coordinate with project teams to provide administrative support for ongoing projects.· Oversee asset management, office supplies, and vendor relationships.· Provide support during preparation of tender submission.· Ensure compliance with company policies and local regulations.· Support People and Culture function to ensure expatriates mobilisation to PNG is as smooth aspossible.· Prepare reports, correspondence, and documentation as required by senior management.Key Performance Indicators1. Operational Efficiency· Office Operations Uptime: % of time office operations run without disruption.· Procurement Turnaround Time: Average time taken to fulfill procurement requests.· Asset Utilization Rate: % of assets actively tracked and maintained. 2. Team Management· Staff Productivity: Task completion rates and quality of output from the admin team.· Employee Satisfaction: Feedback scores from internal surveys or performance reviews.· Training &amp; Development: % of admin staff completing training or upskilling programs. 3. Compliance &amp; Documentation· Policy Adherence Rate: % of administrative processes compliant with internal policies and local regulations.· Audit Readiness: Number of audit findings related to administrative functions.· Document Accuracy: % of reports and submissions completed without errors. 4. Project Support· Project Support Satisfaction: Feedback from project teams on administrative support.· Tender Submission Timeliness: % of tenders supported and submitted on time. 5. Vendor &amp; Resource Management· Vendor Performance: % of vendors meeting service level agreements (SLAs).· Cost Savings Achieved: Value of cost efficiencies or negotiated savings. 6. Expatriate Mobilisation· Mobilisation Timeliness: % of expatriate mobilisations completed on schedule.· Onboarding Satisfaction: Feedback from expatriates on administrative support during mobilisation. 7. Communication &amp; Reporting· Reporting Timeliness: % of reports submitted on or before deadlines.· Internal Communication Effectiveness: Clarity and responsiveness in cross-functional coordination.Key Qualifications, Knowledge, Skills &amp; Experience· Bachelor’s degree in business administration, Management, or a related field.· Minimum 8 years of experience in an administrative or office management role, preferably in anengineering or project-based environment.· Strong leadership and team management skills.· Excellent communication and interpersonal abilities.· Proficiency in Microsoft Office Suite and administrative software.· Knowledge of PNG office work culture and administrative practices is an advantage.Desirable Attributes· Ability to work independently and under pressure.· High level of integrity and professionalism.· Strong problem-solving and decision-making skills.· Commitment to continuous improvement and innovation.· Effective communication and attention to detail.
