We are looking for a full time Administrative Assistant who can manage and organize office operations and procedures. Duties include executive level scheduling, supporting all departments with a wide variety of tasks and projects with varying levels of difficulty, and independent problem solving. This position requires considerable coordination with other team members and outside notables. We are a team of 10 and work very closely together. We are looking for a mission-focused individual who is excited to work collaboratively in a fast-paced start-up environment. This position reports directly to the Chief Business Officer. Responsibilities: <ul><li>Work closely with the CEO to coordinate daily scheduling, manage meetings, logistics and travel arrangements for conferences and speaking engagements.</li><li>Set up agendas for regular and ad hoc team meetings, run meetings, take meeting minutes, and follow-up on key tasks when necessary.</li><li>Coordinate tours, visits, and tasting events for outside partners and investors. </li><li>Research projects related to the industry of plant-based and animal-based meat to support critical decision making with respect to funding, policy, strategy, and more.  </li><li>Support the Chief Business Officer and CEO with investor relations, documentation coordination, and other duties as assigned. </li><li>Write first drafts of proposals, emails, and other correspondence, when necessary.</li><li>Create presentations and policies and train staff accordingly.</li><li>Create and track confidentiality agreements and other formal documents using Adobesign.</li><li>Request and manage insurance information, NDAs, credit checks and other documents are requested and for expiration.</li><li>Maintain, monitor and update a variety of databases, documents, certifications etc.</li><li>HR duties such as scheduling, correspondence, document and computer preparation, and other duties as assigned.</li><li>Assist the Controller with various financial tasks such as collections, payroll, audit requests, demand letters, data entry,  filing, reconciliations, and other duties as assigned. </li><li>Assist the sales team with trade show event coordination, order and track swag, send samples, update target lists and CRM, assist with bid completion, monitor incoming company web inquiries.</li><li>Support sales team at trade shows (this travel is a not a requirement of the position, but a plus)</li><li>Serve as a project manager for projects with longer term milestones and coordination. </li><li>Chair and lead committees as required. </li><li>Monitor daily schedules and vacation tracking for all staff. </li><li>Order office supplies, open, sort, scan, file, and distribute mail.</li><li>Run company errands as necessary. (mileage paid for) </li><li>Assist with facilities requests such as replacing soap in the breakroom, routine maintenance checks, landlord requests, or getting the door for deliveries, etc.</li><li>Miscellaneous duties as assigned. </li><li> </li></ul>Qualifications: Candidates should have all of the following credentials:<ul><li>2+ years experience as an administrative assistant, office manager, or the like. </li><li>Proficiency in all standard G-Suite applications as well as MS Word, Excel &amp; Powerpoint.</li><li>Highly organized and independent approach to follow-up tasks. Ability to prioritize projects and strong problem solving skills.</li><li>Desire to work in a fast-paced, demanding food production, startup environment.</li><li>Ability to be flexible and willing to take on new tasks to support the CEO and team.</li><li>Excellent written and verbal communication skills.</li><li>Basic accounting skills such as bill pay, spreadsheet management or similar.</li><li>Ensure confidentiality related to sensitive company and/or employee information. </li><li>Exceptional experience completing tasks to a high standard of professionalism and attention to detail. </li><li>A passion to make the plant-based meat industry succeed.</li><li> </li></ul>Physical Demands: Ability to stand for long periods of time, stoop, kneel, and reach regularly.
