A typical week may involve scheduling meetings, managing travel arrangements, preparing meeting prep, supporting team staffing efforts, and tracking meetings with potential founders or investors.</p><p>This role is perfect for a sharp, proven administrative services professional who enjoys interacting with a diverse team.  This position plays a pivotal role in supporting the ongoing growth of a world class investment firm that cares deeply about its people. The dynamic work environment is most suited to professionals who are flexible, comfortable navigating multiple priorities, and who enjoy building new relationships.</p><h3><strong>Essential Job Responsibilities</strong></h3><ul><li>Draft communications regarding I+E team-specific policies (expense, travel,  vacation, etc) </li><li>Build and maintain the team’s staffing spreadsheet by gathering and inputting data from relevant team members on a weekly basis</li><li>Draft meeting agendas for internal and external meetings </li><li>Prepare briefing memos where needed</li><li>Organize and plan team/firm events, manage invitation list, design and distribute invites and manage communications to attendees </li><li>Track meetings and interactions with potential founders and limited partners (investors)</li><li>Represent Galvanize with the highest degree of professionalism and enthusiasm for their mission when liaising with external parties. This includes conversational interactions, written correspondence, and in-person meetings that may require greeting guests.</li><li>Maintain calendar, book and manage travel, and handle scheduling requests for the co-head</li><li>Build detailed work-related travel itineraries for the co-head, arranging for all travel and accommodations</li><li>Submit monthly expense reports on a timely and accurate basis on behalf of supported executives</li></ul><h3><strong>Critical Attributes and Strengths:</strong></h3><ul><li>Ability to work independently, demonstrate initiative, and take ownership</li><li>Must be highly organized, yet flexible with a willingness to change priorities quickly</li><li>Exceptional attention to detail</li><li>Excellent discretion, judgment, and tact; be an excellent ambassador to the public, external partners, and stakeholders</li><li>Proactively anticipate needs and cultivate solutions</li><li>Have a sense of humor and patience</li><li>An ability to “read the room” and deploy a specific verbal communication style as warranted (e.g., direct and brief for certain persons, social or thoughtful for other persons)</li></ul><h3><strong>Required Qualifications and Competencies</strong></h3><ul><li>High school diploma or general education degree (GED)</li><li>Prior experience managing calendars and travel for multiple executives, ideally within an investment firm; event planning experience is a plus</li><li>Strong customer service orientation, specifically, working "above and beyond" to creatively problem solve and provide concierge-like service</li><li>Proficiency in Microsoft Office. </li></ul><h3><strong>Compensation and Benefits</strong></h3><ul><li>Base salary pay band is $115,000 - $135,000.
