Job Description:Position SummaryThe Administrative Coordinator provides comprehensive administrative and operational support to a designated team within a fast-paced, high-growth environment. This is not a dedicated executive support role; rather, it is a team-facing position focused on coordination, organization, and operational excellence.<div></div>Key ResponsibilitiesTeam Operations &amp; Coordination<ul><li>Provide administrative support to a direct team of approximately [40] members</li><li>Coordinate team meetings, recurring cadences, and cross-functional sessions</li><li>Manage shared calendars, conference room scheduling, and meeting logistics</li><li>Track action items and support follow-ups to ensure accountability</li></ul>Planning &amp; Logistics<ul><li>Coordinate domestic and occasional international travel for team members</li><li>Prepare and process expense reports in compliance with company policy</li><li>Support budget tracking, invoice processing, and purchase requisitions</li><li>Support  with Contract and FTE personnel onboarding by obtaining access to NX systems, procuring IT equipment, PPE, updating team org charts, etcAssist with receiving, organizing and distributing deliveries and shipments</li></ul>Project &amp; Process Support<ul><li>Maintain shared documentation, trackers, dashboards, and reporting templates</li><li>Assist with departmental projects and track key milestones</li><li>Support preparation of presentations, reports, and team communications</li><li>Identify and recommend process improvements to increase team efficiency</li></ul>Events &amp; Engagement<ul><li>Support customer visits to Nextpower facilities</li><li>Coordinate team offsites, workshops, and internal events</li><li>Support leadership visits and cross-functional planning sessions</li><li>Partner with HR or leadership on team engagement initiatives</li></ul><div></div>Required Qualifications<ul><li>3-5+ years of administrative, coordination, or operations support experience</li><li>Experience supporting a team in a corporate environment</li><li>Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) and collaboration tools (Teams, SharePoint, Confluence)</li><li>Strong organizational skills with the ability to manage multiple priorities</li><li>Excellent written and verbal communication skills</li><li>Ability to work independently and exercise sound judgment</li><li>High attention to detail and follow-through</li></ul><div></div>Preferred Qualifications<ul><li>Experience in technology, renewable energy, manufacturing, or other fast-paced industries</li><li>Experience supporting cross-functional or distributed teams</li><li>Familiarity with ERP, expense, or procurement systems (e.g., Workday, Concur, SAP)</li><li>Experience with Salesforce, Confluence, and Netsuite.</li><li>Data analytics and data management experience a major plus (Excel, Python, PowerBI)</li><li>Bachelor’s degree preferred</li></ul><div></div>Core Competencies<ul><li>Proactive and solutions-oriented mindset</li><li>Strong time management and prioritization skills</li><li>Collaborative and service-oriented approach</li><li>Professionalism and discretion</li><li>Adaptability in a dynamic environment</li></ul>Nextpower offers a comprehensive benefits package.
