<p><b>Position:             Administrator</b></p><p><b>Division               Finance      </b></p><p><b>Location              Port Elizabeth</b></p><p></p><p><b>Reports To</b></p><p>Finance and Admin Manager and other person supervising him/her from time to time.</p><p></p><p><b>Primary Position Purpose</b></p><p>To assist with administration and work queries</p><p></p><p><b>KEY RESPONSIBILITIES  </b></p><p></p><div><div><div><div><div><div><div><div><div><div><div><ul><li>Reception duties, including welcoming clients and visitors</li><li>General office administration and filing</li><li>Typing of minutes, letters, contracts, and sub-consultancy agreements</li><li>Preparation of invoices, payment certificates, and WAFs</li><li>Collection and compilation of sundry information</li><li>Tender preparation, submission, and client liaison regarding queries</li><li>Administrative support to all Project Managers</li><li>Handling calls, emails, letters, and other communications</li><li>Screening phone calls and coordinating meetings</li><li>Minute taking and document/report formatting</li><li>Arranging travel and managing diaries for the Function Manager and Engineers</li></ul></div></div></div></div></div></div></div></div></div></div></div><p></p><p><b>RECOMMENDED QUALIFICATIONS, SKILLS AND EXPERIENCE  </b></p><p></p><ul><li><p>5+ years’ experience in a similar role</p></li><li><p>Matric qualification</p></li><li><p>Advanced proficiency in MS Office (Outlook, Word, PowerPoint, Excel, and ProjectWise)</p></li><li><p>Excellent verbal, written, and typing skills</p></li><li><p>Strong problem-solving and initiative-taking abilities</p></li><li><p>Detail-oriented and process-driven</p></li><li><p>Strong organisational skills with the ability to prioritise workload effectively</p></li></ul><p></p><p><b>PERSONAL ATTRIBUTES  </b></p><ul><li><p>Honest and trustworthy </p></li><li><p>Respectful </p></li><li><p>Possess cultural awareness and sensitivity </p></li><li><p>Be flexible </p></li><li><p>Able to work under pressure  </p></li><li><p>Outgoing personality, responsible, self-motivated and confident</p></li></ul><p></p><p><b>We are proud of the brilliant minds we have at SMEC and are committed to ensuring that our people have the best opportunities and resources to learn, grow and succeed.
