About the Job
The State Incentive Coordinator III is responsible for managing and optimizing the submission and approval process for state incentives. This role ensures timely and accurate documentation, works with cross-functional teams to meet goals, and resolves issues to improve cycle times. The coordinator also trains new employees, supports process improvements, and helps maintain compliance with state-specific requirements. Strong organizational and problem-solving skills are key to consistently exceeding performance expectations.
Essential Job Functions
- Collaborate cross-functionally to achieve daily, weekly, and monthly performance goals.
- Manage timely submissions and approvals for both organic and channel partner state incentive processes.
- Prepare, track, and follow up on outstanding documentation required for state incentive approvals.
- Monitor project progression and proactively engage with program administrators to minimize cycle times.
- Maintain up-to-date knowledge of market-specific state incentive requirements and communicate updates to the team.
- Ensure all incoming and outgoing documents are accurately uploaded to the CRM for seamless tracking.
- Respond promptly to inquiries via phone and email from internal teams, customers, and state program administrators.
- Maintain thorough CRM activity logs to reflect each step of the incentive process.
- Support all state incentive submission and receipt methods, including phone, mail, email, and portals.
- Research and resolve complex issues related to state incentive submissions independently.
- Train new team members on state incentive submission and receipt processes for both organic and channel partner projects.
- Consistently exceed performance benchmarks by completing 120% of the expected volume while upholding quality standards.
- Contribute to the development and documentation of Standard Operating Procedures for incentive workflows.
- Assist in refining and optimizing state incentive submission processes to enhance quality and operational efficiency.
- Other duties as assigned by leadership.

Qualifications & Requirements
- High school diploma or GED required
- 3+ years of experience in REC operations, solar asset management, or incentive program compliance
- Hands-on experience with 2+ REC platforms (e.g., GATS, WREGIS, M-RETS, NEPOOL)
- Experience reconciling project data with third-party platforms
- Proven ability to manage high-volume, detail-sensitive workflows
- Familiar with Salesforce, Excel, Locus, or similar tools
- Proficient in Google Workspace (Gmail, Drive, Docs, Sheets)
- Strong proficiency in Adobe Acrobat Pro for document editing and management
- Demonstrated ability to work collaboratively with internal teams and external partners to achieve common goals
- Ability to work independently and troubleshoot platform issues
- Excellent organizational and written communication skills
- Comfortable mentoring junior staff and sharing best practices
- Excellent verbal and written communication skills
- Willing to move through the pre-employment screening process
Physical Demands

- Primary responsibilities involve regular speaking, listening, standing, walking, using hands to handle or feel objects, and reaching with arms.
- Occasionally, the role may require sitting, climbing, balancing, stooping, kneeling, crouching, or crawling. Employees must be able to frequently lift and move objects weighing up to 10 pounds and occasionally up to 40 pounds.
- Vision requirements include the ability to focus at close and long distances, distinguish colors, maintain peripheral awareness, perceive depth, and make precise focus adjustments.
