We are seeking a meticulous and organized Document Controller with expertise in Smartsheet and SharePoint to manage and oversee our document management processes. The ideal candidate will continue automating processes in SharePoint and Smartsheet. Ensure the proper handling, storage, and retrieval of all organizational documents, maintaining compliance with regulatory requirements and company standards.
Responsibilities
- Develop automations with existing Smartsheet Workspaces and SharePoint sites.
- Coordinate all activities related to the Document Control procedure with confidentiality and a high attention to detail, including managing reviews, versioning, distribution, and transmittals of all project technical documents, drawings, reports, and commercial correspondence
- Coordinate with the Program Manager and Document Controllers across the capital projects program to maintain consistent processes.
- Input document data into the standard registers, ensuring all information is current and accurate
- Ensure that controlled copies of latest approved documents and drawings are distributed to the appropriate staff, subcontractors, and suppliers
- Employ critical thinking to properly name, number, and assign appropriate metadata tags to each document, drawing, reports, and other project-related documentation
- Maintain files and control logs of all documents
- Manage document review comment logs and workflows, tracking open items from open through close
- Typing of various project site documents and follow up on action items
- Proven ability to gather, define and document business requirements and turn them into meaningful solutions for leadership audiences
- Ability to pivot to aid with other ad hoc reporting requests
Qualifications
- Bachelor’s Degree
- Three to five years related work experience in document management, process improvement, and automation
- Advanced skills and experience developing business driven reports, dashboards and data visualization using PowerBI
- Experience with Smartsheet workspaces, Dynamic views, and notifications
- Experience creating/using SharePoint workflows, Powerapps, Lists, Automations
- Collaborating with cross-functional teams to understand their data needs and provide data-driven insights.
- Effective communication of findings and insights to non-technical stakeholders.
- Desire and ability to take ownership and drive programs successfully with minimal guidance or supervision.
- Ability to keep clear and accurate records, manage a filing system, and issue reports
- Ability to organize and triage workload to suit project needs

- Technical Writing experience
- Instructional Design experience
- AI experience
- Familiar with Bluebeam Revu and NitroPro
- Ability to read Engineering drawing
Travel requirements
- Occasional, limited travel to other Enviva regional facilities, including the Mobile office and Lucedale project site.
Working Conditions
- Must be able to work in outdoor environments and occasionally in temperatures above 100 degrees and below 32 degrees
- Willing and able to work in a hot, humid, cold and noisy industrial environment
- Willing and able to maintain strict adherence to safety rules and regulations, to include wearing safety equipment.
Physical Requirements
- Willing and able to perform tasks such as lifting, walking, climbing, stooping, standing, pushing and/or pulling for up to twelve (12) hours a day
- Willing and able to work around moving equipment and machinery
- Willing and able to pull and lift, up to 50 lbs.
- Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
