Description

The Office Administrator role may be referred to as the “Swiss army knife” of our team. This role requires someone who is ready to learn, eager to jump into multiple functional areas of our business and must bring positive energy and smiles to the front each day. This role is to help maintain the daily operations of the organization by providing employees and leaders with administrative support and supplies to help them accomplish their tasks and events.

Summary of Essential Job Functions:

  • Office manager/office admin functions including front desk work and customer service
  • Answer main phone line and direct callers to the appropriate person/email
  • Receive and hand off packages/deliveries/food orders
  • Efficiently and effectively operate the scale and process trucks
  • Assist with outbound deliveries and other USPS/FedEx needs
  • Handle all Incoming Raw Material & Production paperwork and distribute accordingly
  • Manage the day to day inventory with high accuracy
  • File completed shipping documents with production paperwork & customer file
  • Monitor supplies and place orders though amazon and Uline, when necessary
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Coordinate and maintain records for staff office space, company credit cards and office keys.
  • Setup and coordinate meetings and conferences.
  • Assure all quality standards are being met at all times.
  • Take responsibility for the cleanliness and housekeeping on site.
  • Keep all office equipment in a safe operating condition.
  • Be aware of, follow and enforce all plant safety rules.
  • Need to be aware of safety procedures to handle and respond to situations the may arise.
  • Maintain an attitude of flexibility and cooperation in supporting the site objectives.
  • Recommend program or operational changes for continuous improvement.
  • Create and modify documents using Microsoft Office.
  • Maintain hard copy and electronic filing system
  • Support staff in assigned project based work.

Requirements

Education and Experience:

 

  • At least 2 years of administrative/clerical experience preferred. 
  • Must demonstrate relentless commitment to working safely and maintaining a safe work environment
  • Ability to flawlessly execute goals given
  • Must be proactive, reliable, and self-motivated
  • Must possess good verbal and written communication skills
  • Ability to proactively and positively interface with various cross functional and technical functions
  • Must be well organized, capture work details, and highlight any unexpected challenges
  • Ability to maintain confidentiality in daily operations.
  • Able to conduct daily duties in a professional appearance and manner.
  • Proficient in MS Office applications including Word, PowerPoint, Excel, and OneNote.
