Administrative Assistant - (Water & Wastewater Utilities)

This commitment enables us to make a meaningful impact on our clients, communities, and the planet.<div> </div>Woodard &amp; Curran draws on the experience of hundreds of certified operators across the country, backed by the knowledge and skills of hundreds more engineers, scientists, and regulatory experts, to quickly tackle the most challenging operational issues and keep treatment plants running efficiently and in full compliance.  Woodard &amp; Curran also aids employees in earning, upgrading, and keeping their certifications within the industry. What will you be doing at Woodard &amp; Curran? The Administrative Assistant will provide administrative and general office support to the Groveland facility to ensure smooth and effective office operation and maximum efficiency. In this role, you will schedule and coordinate meetings and appointments, research and compile dates for reports and studies, compose and/or prepare routine and confidential reports and correspondence. Schedule:<ul><li>Monday – Friday, 7am- 3:30pm. Reliable and dependable attendance is an essential function of the position. </li></ul> <h3>Responsibilities include:</h3><ul><div><ul><li>Handle telephone calls, emails, questions, and visitors, providing professional and courteous assistance.</li><li>Plan, file, and prepare various correspondence on behalf of the Groveland facility, ensuring accuracy and timely distribution.</li><li>Maintain calendars, coordinate meetings, including scheduling, sending invitations, preparing agendas, and arranging necessary resources such as meeting rooms and equipment.</li><li>Create comprehensive reports by analyzing and interpreting complex data sets. </li><li>Make travel arrangements for staff members.</li><li>Assist in the preparation and maintenance of department records, ensuring accuracy, organization, and confidentiality.</li><li>Manage and order office supplies, monitor inventory levels and coordinate timely deliveries.</li><li>Coordinate with other corporate groups such as Accounting, Marketing, and Health and Safety to facilitate effective communication and collaboration.</li><li>Assist with special projects as assigned, conduct research, analyze data, and provide project support.</li><li>Evaluate office operations, identify areas for improvement, and make recommendations to enhance productivity and efficiency.</li><li>Assist the manager in planning and implementing department programs, activities, and services as required.</li><li>Handle invoices and purchase orders (POs), ensuring accuracy, obtaining approvals, and processing timely payments.</li><li>Manage and provide necessary maps for water and sewer locates to technicians, contractors, and vendors, ensuring accurate and up-to-date information is available.</li><li>Attend meetings as requested to provide accurate and timely minute taking, including preparation, distribution, and record retention of meeting notes.</li><li>Coordinate Health &amp; Safety related administrative functions, including policy review, SDS tracking, gas monitor maintenance, PPE ordering, training coordination, and recordkeeping.</li><li>Process vendor invoices related to corporate initiatives, ensuring accuracy, appropriate approvals, and timely submission for payment.</li><li>Coordinate uniform ordering, distribution, and tracking to ensure staff compliance and adequate inventory levels.</li><li>Perform other related duties as required, which may include assisting with data entry, conducting research, and providing general administrative support.</li></ul></div></ul><h3>What you need to Succeed:</h3><ul><div><ul><li>A positive and motivated attitude!</li><li>Any combination of training and experience which will indicate possession of the skills, knowledge and abilities listed above.</li><li>Experience providing administrative support for utilities is preferred.</li><li>High school graduate or equivalent preferred with ability to carry out required tasks.</li><li>Proficiency in Microsoft Office (Word (intermediate), Excel, PowerPoint, and Outlook).</li><li>Excellent verbal, written and interpersonal skills.</li><li>Ability to establish and maintain effective working relationships with employees and the public.</li><li>Ability to work under pressure with competing demands.</li><li>Strong organizational skills with keen attention to detail and the ability to manage competing priorities effectively.</li><li>Successful candidates will be required to complete a background check before employment.</li><li>Valid driver's license.</li></ul></div></ul> Employee Support &amp; Benefits Retirement Savings:<ul><li>401(k) Pre-tax or Roth Contributions: The company matches 100% of the first 3% of salary contributed</li></ul> Time away from work:<ul><li>Observed holidays: Choose up to 8 holidays to observe annually</li><li>Vacation: Accrued based on years of experience and calculated on hours worked</li><li>Sick time: Paid sick time for non-work-related illness or injury.</li><li>Parental leave: Up to 80 hours of Paid Parental Leave for child bonding</li></ul> Coverage and support for your needs and well-being:<ul><li>Disability: Paid short- and long-term disability</li><li>Health: Medical plan options; plus dental and vision plans.</li><li>Life: Basic employee group life insurance and AD&amp;D benefits; additional voluntary life insurance for employees and families is available through Sun Life.</li><li>Wellbeing: DarioMind assistance program combined with personalized mental health and wellbeing resources.</li></ul> E-Verify ParticipationWoodard &amp; Curran participates in the U.S. Department of Homeland Security’s E-Verify program to confirm the employment eligibility of all newly hired employees.
