Administration &amp; Office Management<ul><li>Manage daily administrative operations: contracts, suppliers, procurement, travel, office supplies &amp; facility management.</li><li>Manage lease agreements, insurance policies, and company assets.</li><li>Ensure proper document control, archiving, and administrative workflows.</li><li>Support operational teams with administrative needs to ensure business continuity.</li></ul>Accounts Payable &amp; Accounts Receivable<ul><li>Support customer invoicing</li><li>Process supplier and IC invoices (incl. travel expense reports)</li><li>Prepare payment runs</li><li>Reconcile bank and cash transactions.</li><li>Follows up on outstanding receivables and supports the collection process.</li></ul>Financial Management &amp; Reporting<ul><li>Takes care of the general accounting administration in close cooperation with the Finance Controller EMEA and local external accounting &amp; payroll service provider.</li><li>Monitors that we are in line with local accounting GAAP requirements.</li><li>Ensures accurate and timely month-end and year-end closing activities.</li><li>Timely submission of the (monthly) TOMRA financial reporting.</li><li>Reviews of journal entries, accruals, provisions and reconciliations.</li><li>Responsible for fixed assets accounting, depreciation schedules and asset tracking.</li><li>Cash planning and liquidity monitoring.</li><li>Ensures compliance with internal financial policies and internal control requirements.</li><li>Support in internal and external audits by providing necessary documentation and explanations.</li><li>Support in (local) budget activities.</li><li>Participates in forecast updates and supports financial planning processes.</li></ul>Tax, Legal &amp; Compliance <ul><li>Act as local legal representative/signatory when required coordinate with MD.</li><li>Manage corporate governance requirements.</li><li>Ensure compliance with corporate policies.</li><li>Compilation and management of other related statutory documentation.</li><li>Ensure compliance with all statutory taxes, such as VAT, relevant taxes and duties, stamp tax, withholding tax, corporate tax support, etc.</li><li>Coordinates with local tax advisors, auditors, payroll providers, and legal consultants.</li><li>Ensures compliance with social security (SGK), labor law requirements, and official notifications.</li><li>Mitigate financial, operational, and compliance risks.</li></ul>Payroll &amp; HR Administration<ul><li>Close collaboration with Head of HR EMEA on employee related matters</li><li>Responsible for payroll &amp; personnel administration: correct determination and periodical processing of the salary &amp; fringes.</li><li>Maintains employee master data, vacation, leaves, benefits, and deductions.</li><li>Coordinates with outsourced payroll provider to ensure accuracy and compliance.</li><li>Supports onboarding/offboarding processes from a payroll and documentation perspective.</li><li>Ensures on time submission of all payroll-related statutory declarations.</li></ul>Other<ul><li>Ad hoc analysis.</li><li>Supports continuous process improvements within the finance function.</li><li>Implement and monitor internal control procedures aligned with group standards.</li><li>Acts as a key point of contact for internal departments regarding finance matters.</li></ul>
