Position Specific Description
The Executive Administrative Assistant to the Vice President of Information Technology (VP of IT) is a crucial role responsible for providing high-level administrative support and ensuring the smooth functioning of the VP's office. This position plays a pivotal role in facilitating efficient communication, managing administrative tasks, and assisting the VP of IT in their daily responsibilities. The individual in this role should exhibit exceptional organizational, interpersonal, and multitasking skills.
Essential Responsibilities
Calendar Management:
- Coordinate and manage the VP of IT's schedule, including meetings, appointments, and travel arrangements. Prioritize and schedule tasks to ensure optimal time management.
Communication:
- Screen and manage phone calls, emails, and other forms of correspondence. Draft, proofread, and edit emails, reports, and documents on behalf of the VP of IT
Meeting Coordination:
- Arrange and schedule meetings, both internal and external, ensuring timely communication and attendance. Prepare meeting materials, agendas, and presentations as needed. Take minutes, document action items, and follow up on progress.
Travel and Expense Management:
- Plan and coordinate business travel arrangements, including flights, accommodations, and itineraries. Track and process expense reports, ensuring compliance with company policies.
Information Handling:
- Maintain confidentiality and discretion when handling sensitive information. Organize and maintain electronic and physical files, documents, and records.
Project Support:
- Assist in project management activities, including tracking milestones, deadlines, and progress. Conduct research, gather data, and prepare reports as required.
Administrative Support:
- Act as a point of contact between the VP of IT and other team members, departments, and external stakeholders. Perform general administrative tasks, such as office supply management and coordination of special events.
Relationship Building:
- Build and maintain positive relationships with internal and external stakeholders. Collaborate with other administrative assistants and teams to ensure efficient operations.
Leadership
- Bachelor's degree in business administration, communications, or a related field preferred.
Technical Expertise
- Proven experience as an executive administrative assistant or similar role.
- Proficiency in office software (Microsoft Office Suite, calendar applications, etc.).
- Exceptional organizational and time management skills.
- Strong communication and interpersonal abilities.
- Strong business accumen
- Attention to detail and a proactive approach to problem-solving.
- Flexibility to adapt to changing priorities and work in a fast-paced environment

- High level of discretion and confidentiality.
- Ability to work independently and prioritize tasks effectively.

- Audits and processes invoices in accordance with accounts payable procedures
- Interacts with all levels of employees as needed to perform responsibilities
- Works on special projects as requested
- Performs other job-related duties as assigned
