We are looking for an Executive Assistant to serve as the primary support to the CEO, ensuring seamless coordination of daily activities and strategic initiatives. This role is pivotal in managing administrative, operational, and logistical needs while serving as a trusted liaison between the CEO and internal/external stakeholders.

This role will report to the CEO and will work from our Hackensack office at least three days a week. The role may also require travel to our New York City office on an as-needed basis.

PRIMARY RESPONSIBILITIES

  • Administrative Support: maintain and organize digital and physical filing systems; manage expense reports
  • Scheduling & Calendar Management: coordinate and maintain CEO’s calendar; serve as gatekeeper and liaison for scheduling requests; anticipate and proactively resolve scheduling conflicts  
  • Travel Coordination: plan and book domestic and international travel, including flights, accommodations, transportation, and itineraries
  • Office & Vendor Management: oversee office operations including supplies, facilities, maintenance, and organization; manage vendor relationships and contracts for office and professional services
  • Inventory Management & Logistics: track and maintain inventory of branded merchandise; coordinate packaging and shipping for employees, clients, and events
  • Event & Meeting Logistics: support planning and execution of internal events, executive offsites, and client meetings
  • Own or support other ad-hoc projects as needed 

QUALIFICATIONS 

  • 5+ years of administrative experience supporting executives in a fast-paced environment
  • Experience working in professional services industry
  • Organized, detail-oriented, and able to multitask in a fast-paced environment
  • Highly motivated, proactive, and adaptable 
  • Technology savvy and proficient in Microsoft 365 and expense tracking software
  • Excellent verbal and written communication skills
  • Discretion, reliability, and professionalism in all interactions
