Duties and Responsibilities


The Small Cats Program Manager, based in Costa Rica will have the following specific responsibilities:

  • Assist Director of Small Cats Program in the preparation of annual budgets and spending projections for centralized small cat program operations, for donor-restricted fund-disbursement programs, and for allocations to select countries or projects. 
  • Work with Panthera hubs and associated finance leads, to create quarterly global Small Cat Program financial reforecasts, and assist Program Director in the delivery of financial adjustments as necessary. 
  • Assist Director of Small Cat Program in engaging with leaders of regional hubs and associated finance leads, to track alignment between annual small cat program goals, key program performance indicators, and salary allocations. Provide support for performance monitoring including data on impact and outcomes. 
  • Review upcoming, or currently developing, Business Development application opportunities on a monthly basis, for potential Small Cat Program fit in synergy with other Panthera programs.  Ensure all major Panthera funding proposals integrate small cat-specific concepts and budgets when appropriate. 
  • Provide support to the Director of the Small Cats Program in day-to-day administration including the preparation of proposals, presentations, concept notes, work plans, and midterm / final term reports. 
  • Develop a system of incentivizing and tracking provision of visual assets and timely field experiences/discoveries from global field teams on a monthly basis for use with donors and communications. 
  • Assist the Communications Department in the creation of Small Cat programmatic materials, brochures, and reports; assist in production of print and online media covering field activities; help produce content for Panthera’s website and social networking sites. 
  • Assist the Business Development Department with content for grant proposals and reports. 
  • As necessary, coordinate with HR and regional leads to ensure Small Cat Program salaried staff have appropriate training, equipment, communications, and field security checks to maximize Health & Safety. 
  • Assist in preparation of documents such as grant agreements, Memoranda of Understanding, and legal agreements. Act as point of contact for MOUs and legal agreements with governments, academic institutions, and NGO partners. Maintain program files, including contract and budget information, data, and reports from field projects and program partners. 
  • Help coordinate the preparation and tracking of all sub-contracts and sub-agreements including technical and financial reporting, advances and reimbursements.  Report personal project expenses (travel etc.) in line with established Panthera protocols. 

Qualifications & experience 

  • A minimum of 8 years' experience in program management
  • Exceptional project planning, financial reporting and management skills; 
  • Educated to postgraduate Masters level or equivalent experience; 
  • Experience in creation of partnership, funding, and MOU agreements. 
  • Experience of managing conservation projects, with excellent communication and collaboration skills; 
  • Experience in conservation fund-raising 
  • Experience in conservation communication tools 
  • Proven experience and ability to collaborate with colleagues across countries, cultures, and time zones; 
  • Skilled at building consensus with conservation partners and other stakeholders. 
  • Willingness to travel occasionally;
