Our culture supports our values by fostering innovative and critical thinking and a deep belief in living up to our promises.  Headquartered in San Francisco, Pattern has a portfolio of 30 power facilities and transmission assets across North America, serving various customers that provide low-cost clean energy to millions of consumers. <h2>Responsibilities</h2>Job PurposeThe Document Administrator will support the Legal Team by assisting with the process of document execution and management including obtaining signatures for documents, tracing insurance certificates and gathering, organizing, and managing the Company's documentation.  The Document Administrator will be responsible for verifying proper approvals for signature requests and obtaining signatures of authorized individuals utilizing a Contract Lifecycle Management (CLM) system. The Document Administrator will be responsible for uploading documents to the SharePoint document management system, reviewing documents to identify basic metadata for “tagging” within SharePoint, assisting employees with requests for CLM assistance and help finding documents, maintaining inventory of closing documents, and performing routine document management and retention duties. The Document Administrator will work with various departments throughout the Company to ensure compliance with Company’s Document Execution and Procurement Policy.  The Document Administrator will report to the Manager, Document Management. This position's hours are 9:00 AM to 6:00 PM.Key Accountabilities The key responsibilities will include as a minimum the following: <ul> <li>Upon request for signature of a document, timely verify proper approvals have been obtained and obtain signature from an Authorized Signatory for the Company entity entering into the agreement utilizing CLM and Adobesign Esignature software.</li> <li>Review documents and identify basic metadata, input same into SharePoint at the time document is uploaded.</li> <li>Coordinate receipt of documentation from legal, development and operations personnel and from outside counsel.</li> <li>Scan and input documentation into databases, including indexing and archiving.</li> <li>Upon receipt of documentation from departments ensure authorized signatories signed the document; follow up with commercial team to obtain countersigned documents from counterparties.</li> <li>Keep track of versions of documents received and ensure current documents are uploaded to the SharePoint database.</li> <li>Collect and organize hard copy original documents.</li> <li>Coordinate, manage and maintain inventory of closing documents. </li> <li>Liaise with external counsel to obtain closing documents.</li> <li>Assist with closing activities and documentation, including management of signature pages.</li> <li>Special projects as required.</li></ul><h2>Qualifications</h2>Educational and Required Work Experience<ul> <li>BA degree or equivalent education. </li> <li>Possess three to five years (or more) of document administration/management experience in a corporate or law firm environment. </li> <li>Familiarity with various forms of complex business agreements, ability to read and identify key information from same.</li></ul>Additional RequirementsMust possess strengths in the following:<ul> <li>Ability to communicate clearly and effectively with all levels of personnel, both within the Company and outside firms.</li> <li>Ability to handle several requests and receipt of documents in various forms from various sources at the same time.</li> <li>Ability to work independently with minimal supervision.</li> <li>Self-starter. Ability to keep themselves busy and initiate projects.</li> <li>Attention to detail.</li> <li>Ability to read and identify basic information in commercial and legal documents.</li> <li>Ability to understand legal terminology and legal entity organization</li> <li>Ability to multitask.</li> <li>Good organizational, planning and implementation skills, including the ability to coordinate and work in a team environment.</li> <li>Ability to work independently and efficiently in obtainment and return of signatures to requesting parties</li> <li>Ability to work independently and efficiently in inputting of metadata into SharePoint database.</li></ul>Technical Skills<ul> <li>Strong computer skills, including Microsoft Word, Excel, Outlook, AdobeSign, Nuance Power PDF, Contract Lifecycle Management systems and SharePoint.</li> <li>Knowledge and experience with Internet Explorer and Chrome browsers.</li></ul> The expected starting hourly rate for this role is $40.00 - $50.00 USD.
